Considerations
The team has discussed this project in depth and we have articulated an approach below for your review. We have considered several things including the following:
- In addition to working with Mani Subramanian, we have extensive experience in the industry.
- In 2017 a small studio worked on a partner portal for Digital Realty. From 2019 to 2022, a small studio partnered with Cyxtera after a larger agency became too inflexible and expensive to work with. a small studio was a perfect match acting as an extension of the product team, and even completed onsite data center visits and customer interviews to understand the inner workings of colocation. This experience is indispensable for jump-starting a UX and product design project in this industry.
- We understand this begins a lengthy but important journey for Cirion Technologies to “maintain a great customer experience throughout the process and after.” We will work alongside your incredible team of engineers to deliver on this promise.

Timeline & Deliverables
Based on these considerations and what we gained from our introductory communication with Mani, we have estimated the following scope and timeline for your consideration;
- Weeks 1-2 | Onboarding, Discovery, & UX Review/Customer Research
- Kickoff and Discovery
- We will work closely with the product team to familiarize ourselves with the current product roadmap, the business, the marketing team the customers, and any other relevant information.
- We will review existing key project documentation and use the product. Specifically, we will complete a review of Cirion Technologies design system to identify any gaps.
- Following the initial due diligence, we will review and finalize the final jobs to be done list and outline a more detailed design scope.
- Weeks 3-6 | Cirion Branding, Design System, Component Library, and Wireframes
- Develop and Standardize Transition Branding
- With a better understanding of the portal experiences, we will assess where and how to implement the Cirion branding. We will work closely with marketing to translate, and if necessary evolve, all branded elements (color and font systems, iconography, and logos) into the portal.
- Utilizing your existing brand system, and the design elements we develop together, we will create a portal-specific design system. This will enable smoother development, as well as easier expansion should the portal require additional features in the future.
- We do this using Figma Design Tokens to allow design and dev to collaborate fluidly and asynchronously.
- Jobs-to-be-done UX Wireframing
- This will be an iterative process as we work alongside your product team to design the best experience that will satisfy the needs of your customers.
- Wireframes will serve as a foundational blueprint in the process, outlining the structure and functionality of your portal without the distraction of visual design elements. They enable us to focus on layout, user flow, and content placement, ensuring a clear and effective user experience.
- Week 7-9 | High-Fidelity User Interface Design
- Once wireframes are approved, we will design high-fidelity components to complete the experiences. These will be completed with documentation to ensure quality handoff to engineering.
- Week 10 | QA & Handoff
- We will operate as a liaison with developers to ensure all experiences and assets are understood and translated correctly.
- All work completed will be organized, packaged, and delivered to you as needed.
- On-Going | Continued QA (Up to 20 hours as bank of hours)
- Ongoing consulting with engineering, development, and business teams as portal is being developed including small changes as potential new requirements emerge
- Final QA / UAT process when portal is ready to launch
Fee & Invoicing
$75,000 | 10-Week Partnership
Our fee is broken down as follows;
- a small studio works on weekly retainers of $7,500/week with our clients.
- This accounts for our time of course, however, it does not restrict us to hourly engagements. We see ourselves as your design partner rather than a production designer. The entire studio will be involved in every step of the project allowing us to move with agility to guarantee success, as we have proven last year.
- In addition, the entire studio touches every project we engage in. Because of this we only work with 4 clients at any given time. ****
- For invoicing, we ask for 50% upfront, 25% halfway, and the remainder due before final delivery.
